How To: Complete New User Onboarding

This guide covers every step a brand-new SpatialKey user experiences — from receiving the invitation email through setting a password, accepting terms, and reaching the home screen for the first time. It also covers the administrator steps required to create the account.

Prerequisites

  • Admin: USER ADMIN or SUPER ADMIN role required to create a new user account.
  • New user: A valid email address and access to the invitation email inbox.
  • New user: A modern web browser (Chrome, Edge, or Firefox recommended).

Steps

Phase 1: Admin Creates the Account

  1. Log in to SpatialKey.
  2. Click the People tab in the navigation bar at the top of the page. (Note: The People tab is hidden for Viewer-role accounts and not visible to Viewers.)
  3. Click the Create User button in the upper area of the page. The Add New User dialog opens.
  4. Fill in the required fields:
    • First Name (required)
    • Last Name (required)
    • Email (required — must be a valid email address)
    • Title (optional — e.g., "Mr", "Ms", "Dr")
  5. Select the user's Role using the radio buttons. Learn more about user roles.
  6. Review the Can use premium geocoding checkbox. It is checked by default; uncheck it only if this user should not be allowed to use paid geocoding credits.
  7. Click Save.
    • What you see: The dialog closes and a confirmation message appears: The user " " has been created. An invitation email is automatically sent to the address you entered.
    • If Save is grayed out: At least one required field is blank or the email address is not valid. Check that First Name, Last Name, and Email are all filled in correctly.

Phase 2: New User Receives the Invitation Email

  1. Check your email inbox for a message from SpatialKey.
  2. Open the email and click the invitation link.
    • The link takes you to the SpatialKey login page. It includes a one-time security token.
    • If the link says your session is already active: The system automatically logs out the existing session so the token can be used safely. You do not need to do anything.
    • If you see the message "Your password reset link has expired.": The token has expired before use. Ask your administrator to open your profile in the People tab and click the Reset Password link to send a fresh invitation. Then follow the new email's link.

Phase 3: Set Your Password

The link opens the "Please create a password for your account" screen. Your email address is shown at the top of the form.

  1. Click into the New Password field and type your chosen password.

Password requirements (validated as you type and on submit):

  • At least 14 characters long
  • Must meet at least 3 of these 4 character categories:
    • Lowercase letter (a–z)
    • Uppercase letter (A–Z)
    • Number (0–9)
    • Special character (e.g., !, @, #, $)

If you see the error: "Passwords must be at least 14 characters long and have at least 3 of the following: 1 lowercase letter, 1 uppercase letter, 1 number, 1 special character." — adjust your password to meet all rules and try again.

  1. Click into the Re-type Password field and type the same password again.
    • If you see: "Your passwords do not match." — the two fields differ. Retype carefully and ensure Caps Lock is off.
  1. Click Set Password.
    • SpatialKey immediately sets your password and logs you in automatically. No further action is needed on this screen.
    • If you see a token error such as "Your password has already been created using this token." — the link was already used. Return to the login page at your organization's SpatialKey URL and click Forgot Password to request a fresh link.

Phase 4: Accept the Terms and Conditions

Immediately after login, a modal dialog titled "SpatialKey Inc. Standards of Conduct" appears. This dialog cannot be dismissed without accepting.

  1. Read the terms displayed in the scrollable text area.
  2. Click the I agree button at the bottom of the dialog.
    • What you see: The dialog closes and the SpatialKey Home page loads.
    • If you see an error dialog instead of the terms text: SpatialKey could not load the terms document from spatialkey.com. This usually indicates a network connectivity issue. Click OK — you will be logged out. Check your network connection and log in again. If the problem persists, contact support@spatialkey.com.

Note: If the Terms are updated in the future, this dialog will appear again on your next login. Returning users who have previously accepted will only see it again when SpatialKey updates the Standards of Conduct.

Phase 5: Explore the Home Screen

After accepting the terms, the SpatialKey Home page appears.

The page has four main navigation tabs:

Tab What it shows
Apps The licensed applications available to your organization (default landing tab)
Dashboards All dashboards you have access to
Datasets All datasets uploaded to your organization
People User management (hidden for Viewer-role accounts)

On the Apps tab:

  • The left panel shows available app cards (e.g., Underwriting, Accumulations, Event Response). Each card shows the app name, an icon, and a count of dashboards.
  • The right panel shows Favorite Dashboards. As a new user, this panel shows the placeholder message: "You don't have any favorite dashboards yet." As you mark dashboards as favorites with the star icon, they will appear here for quick access.

To launch an app:

  1. Click any app card in the left panel.
  2. The app's setup wizard (launcher) opens. From here you can run your first analysis.

Phase 6: Update Your Profile (Optional)

  1. Click your initials avatar in the top-right corner of the header. A menu appears.
  2. Click Edit My Profile.
  3. The profile dialog opens with three tabs:
    • Profile — Edit your First Name, Last Name, Email, and Title. You can also request a password reset from here.
    • API Access — View and manage your API key.
    • Account Quotas — See your organization's dataset and geocoding credit limits.
  4. Make any changes and click Save.

Expected Result

After completing this workflow:

  • Your SpatialKey account is active and you are logged in.
  • The Terms and Conditions have been accepted.
  • The Home page is fully visible with your licensed apps displayed.
  • You can click any app card to begin an analysis.
